We are starting to realize that feeding 20-30 people everyday is a very complex logistic problem, and unless we find a way to buy in bulk, very expensive....
How do your teams deal with this?
Do you go eat in groups?
order food in?
do you have deals with local food suppliers?
how do you pay?
from which money?
I would like to solve this problem ASAP.

We basically go broke trying to feed each other out of our own pockets... It creates a special bond between cranky FIRSTies... Or maybe we'll order pizza or something.. nothing big

What our team does is every Student and College Student Brings in 5 Dollars and we get pizza or other food and the left over money goes towards the next meeting's food.

There's a nearby Chinese food place with an Italian place right next door. Both places are extremely affordable: A full sized meal plate (which usually leaves me with leftovers) only costs about $5.50. Then we get some soda and chips from a nearby grocery store, and everyone pays for their share.
Hmm, there's also a nearby Subway; we should order one of those 5 foot grinders some time :cool:

Nah... we kinda just eat whenever we feel like it, or whenever a massive amount of us is hungry... We live on Moxie and stale food... It's quite lovely.

We ask our parents to make a meal for a night. They sign up for at least one meal during the six weeks, and are obliged for that day to provide one meal that will feed all of the students, mentors and advisors. Some sign up for two even! It is a big success. On the days we don't have a meal being brought in, we carpool and go out to get food on our own. We make sure we have money just in case anything happens.
We either pack into small chinese reastruants, order pizza or split up and eat on our own. Our best engineers dont seem to need food. I think they get nutrition from chain greese.

Here is what my team does: every student has to pay a dinner fee each month about $40, that covers food all month for all meetings, parents are asked to cook or provide food once during the season and they are given a day or even week they provide food. also we go out to food places and ask for sponsorships not of money but for food or for even a price break on the food for us to have them as a sponsor. I'd be happy to give you some information, but it really varies with team. I'll split up this post into 3 categories: Long meetings, events, and competition.
Long Meetings
For regular meetings, it isn't hard for people just to bring their own food or eat before hand. However, longer meetings on 461 are "BYOL" in many cases. Team members may bring their own lunch, and there is a microwave and refridgerator available in the office next to the lab so that they can heat or store any food they need. It isn't a bad idea for members who are there a lot to prepurchase a large amount of frozen dinners. Not exactly healthy, but effective. For the post-kickoff strategy session, we got pizza ordered in because a team from a different area watched it with us. Pizza for a large amoutn of people is fairly realistic. Assume about 2 pieces per person, including advisors. The team should pay for pizza, or maybe charge $1 per student for it if really necessary. Students provide their own drinks.
Events
Most events have food already covered, but if your team is working in any sort of volunteer thing and doesn't have food available, going to a cafeteria or a fast food restaurant is a fairly simple option to get people fed. Pizza usually also wins out in this case, cause most everybody can eat a cheese pizza. If they are lactose intolerant, you can arrange to get them something else. Remember to make a sheet of the food preferences of your team members. Some people are vegetarian, others may keep strict kosher, others may have allergies. This is an effective tool for managing food in all circumstances. A good idea if you're doing a post season party is to have certain people provide 1 liter or pop or juice each to make drinks easier to manage (such as at a pizza party). If you go to any restaurant where people order their own food, they also order and pay for their own drink. If pizza is ordered, the team should pay.
Competition
This one is probably what you're most worried about. At a regional event, you will find many vendors selling various types of very expensive food. Students should probably pay for any of their own snack expenses at a regional. Our team sometimes goes out to lunch during the regional if there is time and if there is food nearby. On those occasions, members pay their own way. However, if there isn't much time, it is also good for the team to pay for some pizza to eat on the bus. Some venues won't allow you to bring outside food in. The team shouldn't have to pay for snacks out of its budget, just make sure that you make clear to everyone what the expectations are.
At the Championship Event/Nationals (whatever you like to call it), your team may either purchase the FIRST competition package (including hotels, party entrance fee, and dining dollars) or arrange your own stuff. The competition package in my experience is very effective. Dining dollars are provided to give some number per person per day. These are spendable in the Georgia Dome or other venue and some stores nearby. They are awesome. However, if your team chooses not to purchase the package, you may arragne for students to fundraise ahead of time and then have an amoutn of money handed out to everybody. You should discuss this with your food coordinators, if you aren't one.
Edit: Also, many companies (food) offer highly reduced rates for large groups (based on the amount of food you order).

yeah well our team over in hauppauge NY well we buy Chinese every night. and they give us free stuff.::they should really sponsor us::

During the week we meet 5:30 to 8:30. Everyone eats before they come. Students sometimes bring in bags of chips or cookies. They are stored in a cabinet and we pull out little each night for snack :) It is just on a system that if no food in cabinet no snack.
For our Saturday meetings (8-4) Sometimes Donuts show up in the morning sometimes not.
For lunch though we pass around a sign up sheet at the kickoff and each family sign up for one thing in the 6 weeks. (Main Dish, Dessert, Drinks, Appetizer, etc.) so then each family does a little bit over the build season. We also have the rule now that no family can make the same thing over the 6 weeks. If we didn't set that we would have Hot Dogs and Sloppy Joes a lot :ahh:
For extra Sunday meetings we order out. Some examples would be Pizza and Subs. All students then chip in $5 to cover costs normally.

$7.99 for 10 tacos at taco bell. so if evryone brings $4 each, sumone runs up to tacobell and brings a lot of tacos back. everyone gets enough food, and is happy, works for a small team like us. oh, and bring your own drinks / waterfountain works. and if you are broke, you get no food. :D
Cyber Blue, same as many other teams I'm sure, usually have the students eat before they come. Our meetings are from 5:30-8(Usually 9) every weekday. However, to get some team bonding, every Wednesday we start our meetings at 5. We have an organization made up of parents called the Cyber Blue Parent Crew who bring in a home cooked meal for the whole team each Wednesday. On the weekends, the Parent Crew yet again comes through and usually provides a meal for us for lunch on Saturday. Each student on the team is required to bring in one 24 pack of something for the team to drink on Wednesdays, weekends, and other nights. At competitions, for lunch, our lovely Parent Crew comes through yet again and provide us with sandwiches, drinks, and usually some sort of a treat. It has worked out very well for us.

The parents of the students on my team take turns bringing food in for dinner. We meet Monday, Tuesday, Thursday, and Saturday. On the weekdays the parent assigned to bring food would bring dinner for everyone. On Saturday the parent assigned to bring food would just bring in something for us to munch on. Last year we had about twenty students on the team and each parent brought food about twice throughout the season. Sometimes they would just bring in food from McDonalds or Taco Bell, but a lot of parents would actually cook for us.

Our meetings are from three to six every day during the week and we don't have weekend meetings scheduled, so food isn't an issue for us.
Then again, that all goes out the window during the end of build season, winter break in particular. Because we've never had a real need for one, 818 doesn't have a structured food plan. Sending out someone that can drive to get fast food, pizza, and/or doughnuts tends to work well enough, though. :)

We start meetings at 5p.m. every night but we rarely bring in food for everyone. Kids are expected to either eat beforehand or (if they have stayed after school) they can leave as they please to go home or to a restaurant to eat. Waiting until the end of a meeting is not always a very good idea, since we've been known to work continously until 10:30 or 11 at night in the school. On occasion, I'll bring a couple of kids with me to Little Ceasars and buy a bunch of $5 pizzas and crazy bread. If necessary, we split the cost, otherwise i'm more than willing to foot the bill.
116 has parents bring lunch in on the weekends. Weeknights we usually only meet from 7-10, extending to 6-11ish, so it is eat before you come. Local pizza places will give us $5 large pizzas (PapaJohns, Dominos), and Chic-Fil-A gives us lots of free sandwiches and nuggets from time to time as well.

We have our meetings set up so that only two per week go over dinner, except for the first and, sometimes, last week, when we have five that go over emal time. We ask parents to volunteer to bring enough for about thirty to eat. We filled the entire list in one night.
At competitions, we pay out of our robotics fund from our extra fundraising money for lunches, and everyone pays for their own dinners. The hotels usually provide breakfast. At nationals lunch is paid for too.
At special meetings intended to go over dinner, but ont one of the weekly meetings, people just bring enough to chip in for pizza. I wouldn't do this too often though - not only is it mroe expenisve, you get VERY sick of pizza.

Many thanks to the huge number of sponsorers who provided food for our team every Saturday and late night. Some, but not all, include Chipotle, Bob Evans, Mr. Meatball, Chickfillet, etc. :)
we ask for donations from places like the school cafeteria or other places like Pizza Hut... granted somtimes that dosen't work.

We save up coupons during the year and buy pizza with that, and a lot of places around where we live support us greatly, oh yea, let's all go out there and do our best this season! Hope to see ya at a regional!

We meet everyday after dinner till about 10:30, we try to keep a case of pop open at all times. we kinda just let whoever wants it bring it in. usually ends up one of our teachers brings in 2 or 3 a week for us :cool: Our team is rather small only about 20 total. so on weekends we take turns in small groups providing food. other than that its just on our own.

WE ussually only meet durring meal times on saturdays so we order tyhree pizzas at 11 and eat cold pizza till 4.... we also tried this year getting a huge amount of cheap soda at a bargain bulk store... dunno how the prices went there but my friend has an entire trunk full of 12packs.... OF SODA! gosh.... yeah and a comment on the

We usually get a hotel with a breakfast. We will eat that every morning. For lunch, our awesome adults provide us with sandwiches, chips, fruit snack, candy, and a coke. It's actually really good. Once in a while they will bring a grill and cook hamburgers, which are always good. For dinner, everyone pays for his/her meal. We usually eat at a nicer place for dinner like Applebee's or anything like that. We (the students) only pay for dinner every day.

For kickoff:
Saturday the team buys pizza and soda.
Sunday we always ask Subway and our local market (Bricks Market) to donate food. Subway gives us big party subs and Bricks gives us a full sheet of brownies, soda, chips, cups, plates, napkins, and ice. These donations are as simple as a phone call, pick up and thank you letter, of course a place on our shirts also.

Just remember you're team does not always need $money donations, if you know of a business that has a specialty in something then go ask them to donate if you are in need of that specialty!!!!
The rest of the build season we usually just have go on your own meals. Sometimes we have a bulk order and someone goes to a fast food place to pick if up, thats if you want to anyways.
The adults are usually good about asking the kids if they need rides to places to eat and what not. ;)

Oh! I forgot... The place where we meet is an OLD facotry down in the city of Rochester... Gleason Works... Since this is such an old HUGE facotry there are little machine stations where there are food and beverage machines. The old soda machines they had last year (which have since been replaced...boo) Used to drop a cup down... put ice in if you so select and then put syrup and water righ tinto the cup. Now this was all for 50 cents! It was awesome. Not onlythat but you could open the door and remove the cup before the water fell in and you could have pure coke syrup..... now that would give you a buzz and one heck of a headache! but thats my story.... who else has some really old coke machines?

Pot noodles tend to make us survive in the build period, as all we need is a kettle....
If we get extra peckish, someone has to drive and get some chips or something..

if we ever build anything at college i think we will have to go visit them .... (its about 10 m from college)... however in the local cinema magazine you can get a 6inch sub for free if you buy a medium drink... so thats effectivly £1 ....
Otherwise in meetings we just let everyone go hungry , (we start at 4:30 and rarely end later than 8pm...)

to add to my last post since I JUST thought of this. The Robotics team eats more food in a 6 week period then the whole city of Holland, Michigan in a year according to one of our mentors >.> we get tons of discounts to because we have at least 1 robotics person at each pizza place in the city as well. :)

Yeah, what Dori forgot to mention is that we meet every weekday from 4:00 pm till about 8:00 pm so most of us just stay at school from the time school gets out till 4, so we don't get to go home for food. It's a great relief on the team when parents provide the food for us so that we don't end up spending loads of money to eat.
this year, we are planning on having meetings from 3-8 for much of the build season (finally, another excuse not to do homework), most of the time, we just sort of pool our money, a store near us does pizzas that will feed about 4 people for only 5 dollars each, so if we do that, we shouldn't have to end up paying too much. sometimes people just bring in food as well.

My team used to work non-stop so..
we hooked up a glucose solution and fed ourselves via IV to not damage any components (laptops, victors, command interfaces, etc.)
We had one person dedicated to rationing out the sugar and mixing the soluition (in huge gallon-drum barrels)... You'd be surprised at how quickly a 50 lb bag can run out.
My team meets from 5:30-9:30 weeknights; 9-5 Saturday; and 1-5 Sunday
There are 24 students on the team and a parent volunteers for each weeknight to feed us --- with mentors it is close to 40. We have a set dinner time of 6 and it has been a good bonding period for the team.
For weekends we have 2 refridgerators and a microwave and leftovers from the week. Or we will send someone out to get something.
We drink a lot of soda. Last year we had 6 full garbage bags of crushed cans. We are trying to wean back on to water though and there is a endless supply. We actually have a food section to our shop.

Last few years it was basically free-for-all....Now were smarter, everyone was/is required to pay a $5 Team Entry Fee, which goes towards pizza. Also, a bunch of us work at various pizza places around town, so that helps too. Oh, and Ramen noodles.....so many times have they have saved us from certain hungryness

jk about the post earlier. Normally, parents take turns bringing meals to us at the shop. If students need food before about 6:30 - 7:00pm, then we normally go on a jack in the box run or something.
Awwwww.... You guys have fridges and microwaves? last year all we had was a mini-fridge..... No microwaves.... :(

i understand the need for fridges someplaces, but here in michigan we open the door to some snowy landscape. and for microwaves, pffft. we roast our marshmallows over a hot motor.

for the two competions that we have been to we have always been close by to numerous restuantes and fast food. so what happens is that everyone brings their own money and buyus whatever they want to eat for that meal. simple but it does cost the team member a bit

food= good lol-- we feed our team spam jk no we just during the weeks everyone has dinner before the meeting @ 6:30 but Saturdays kids bring lunches or we buy pizza -- $1 a slice which includes a drink-- take about an hr to get all of the pizza and well yeah. very simple i guess but it works. make a deal w/ pizza places and it works to get the team fed.
competitions of course are different-take the package or we let them on their own for food-for competitions though we try to get a hotel w/ continental breakfast
Our team doesnt really have set meeting times, we just come in after school, and leave when we all happen to be done with our various tasks. Last year there was a pizza place nearby that sold large pizzas (enough for like three people) for six dollars, and with only 7 of us only six of whom would show up on a given day we could usually get by with two pizzas which cost just 12 dollars total. Then someone would go to k-mart or wal mart or one of those places (I never went so I forget where) and get about a hundred cans of those funny brand sodas called like mountain lightning and dr thunder. It seemed like we could get a load of soda for about ten bucks. Then occasionally someones parents would bring in some stew or chili, or once a guys dad brought in these really good cajun chicken wings he makes. This year we got sponsored by Hostess, so we have a cabinet full of twinkies, and fruit pies, and other generally unhealthy preservative filled goodness. Then just for good measure we got sponsored by another local bread company so we have all sorts of bagels and healthier stuff. We have yet to get any soda yet this year, we we are just making a container of lemonade every day.

You cannot bring food on site…..at all. Not even as a promotion.
Do not provide teams with candy, water, fruit, soft drinks, etc. This is
to promote good will and the spirit of partnership with the venues.
On the other hand, you're completely free to leave the venue to go get food if need be. That might be your best alternative.
Wow this is pretty helpful, so far its been pretty ruff unless the moms do some extreme hot-doggin. But I'll Take into hand the taco-bell idea. I like that. :)
Just have everyone bring in like $5, then have like 100 bucks in the dinner pot. Send someone over to The bell, and bam! Dinner is served.

I know Tom posted already but I'd like to clarify...
We get Chinese on weekends...since there's always too much for the people who ordered to eat, anyone who didn't get anything usually just takes what they can get from the leftovers... and of course there are lots of fortune cookies for everybody :p We also seriously have a hundred little packets of duck sauce in our room... maybe we'll use them to power our robot :D
On the weekends, we get catered by The Garage, a truly awesome place that makes the best subs.... our lunches on saturdays are epic. We wander in, eat, wander out, work, eat, work, eat, work, and the conversations we have throughout are just amazing.
We always make sure to put the Garage on our shirts and on our robot.
Occasionally we'll get a pizza, but that hasn't happened in a while.
Note to Newbies: Just call around. Letters are your best bet, but phone calls work too. Small caterers and food shops are nice, because you get to know them and it feels great when you put their decal on your robot and show it off... but big stores will help out too. It's more or less like finding a sponsor for robotic supplies, except it has more immediate results. When all else fails, pool your money and get a pizza or something. Or maybe make a picnic dinner if you don't have the cash.
Of course, we *could* just eat before we come... but that would be too easy a solution. We robotics people need a challenge!

Well, we could eat before we arrive, but that's entirely to logical. :p After all, this is the Hauppauge Robotics team. Logic has no place here whatsoever. :D
Essentially, at the height of the build time, some of us live on Chinese food and caffeine alone. It's quite effective, actually. As for building up a relationship with a local restaurant, well, lets just say by the end of the year, we knew the delivery person personally, didn't have to give directions straight to the robotics room, and our free stuff sometimes came in a seperate bag. :p
The meals do tend to be great places for conversation as well. Then again so does most of FIRST.

We normally work from 3 to 5:30 which is when our mentor normally likes to get home. But on weekends we have one of our guys (who just happens to work at pizza hut) run and go get us some on his employee discount and we divide the bill between the students later.

I think that we have it really good for our food during build season. We have meetings on Mon, Tues, and Thurs from 4-8, then on Saturdays from 1-6. Saturdays we eat before we come, but during the week everybody's parents sign up for one night where they bring food for the whole team, and it is always really good. During the course of the build season we can have anything from pizza, nachos, red beans and rice, chicken and dumplings, jambalaya, sandwiches, spaghetti, and all kinds of really good stuff. I think our whole team comes out of build season a little heavier.
Team 662 works in an empty store in our local mall, so the problem is pretty much solved for us. :D
We also have a snack team that runs to the K-Mart in the mall to get sodas and snacks that we sell to the team for a quarter each(enough to break even to get more snacks).

I think my team's getting a bunch of $1, $5 coupons for local restaurants. That'd cut down the costs a lot during the build time, but I think the local restaurants (McDonalds, Burger King, Arby's, etc.) are going to end up fattening half of the team if everyone decides to have that diet.
For now there are parents bringing homemade dinner every night. And a fridge full of soda that's being constantly restocked.
I just weighed myself and I have gained two pounds since last Saturday. :D Thats a sign of a good robotics team.
Part of our team expectations is that the parents of each team member must provide a meal for the team. We have one wonderful parent that organizes the whole schedule for the build time. Our "short" days - Tues, Thurs 5:30 - 9, and Sun 12:30 - 6 don't require food. The long days - Mon, Wed, Fri - 2:30 - 9 and Sat. 12:30 - 9 we need dinner. The parents are fantastic - so far this year we've had chicken fingers & fries, Chili, turkey dinner (w/ potato and veggie). Last year I even brought in my barbeque grill and we had burgers and hot dogs. We eat well! The school's food lab is across the hall from our build area, and the school is gracious enough to let us use the space to eat and store some of our food items like paper products. We use the dinner time as a team bonding time, rookie members sit with returning members and get to know each other. We also use the time for team meetings.
A suggestion for those who might meet right after school on your school site: Ask if the cooking/catering class might want to help out. Ours delivers food for the team on the three weekdays we meet.

During the week, 5:30-8:30, everyone is responsible for their own food and on Saturdays a couple of parents get together and one person brings chip, another buys drinks, sandwiches, etc.

Since i am involved with class council so much and many other school events i run into this problem all the time. hey you have to put ur foot down and say hey listen if u wanna eat 1) bring something 2) bring money too eat 3) have wonderful robomom's that switch up and they bring in food 2 or 3 times a week 4) if no moms bring food or if they have no money and brought nothing then have them share with someone that is willing or they are just sol. because u will get people that act like they have no money but actually have probley more than me and u so yeah stick it to um i mean the team can't pay for it all then u would spend all ur time fundraising and not building and competing with a robot T-Money

we dont feed you on weekdays, your on your own or eat before you come of course theres always leftovers in the fridge (if your desperate or john B.) and theres snacks like cookies and stuff. but we send out a "food list" and everyone takes a turn bringing in a meal, drinks and wut not. snowdays or holidays we usually pool together and get pizza or send a willing student to run to KFC.

I have been on a few teams and they have each done different things. In high school my team was sposored by Papa John's. While they never gave us any monetary donations they did send us pizzas twice a week. On that same team I was also comissioned to cook team dinners. I was given money from the team account and I bought pasta- it's cheap and filling. I cooked in the home-ec room in the school so it was close and easy. Another team I was on signed up parents to bring in food. There would usually be 2 or 3 parents each night that would bring something. Other times it would just be each person for themself as far as getting or bringing food.
At competitions it is more cost effective to go to a grocery store and purchase sandwich making items and keep them in a cooler. While you cannot take them in the venues you can eat outside during a break.

One thing we do every year: Bulk cup-o-noodles! those rock, although you get a little tired of them after about 4 weeks, but conveniently, thats when you stop needing food! :D

We had everyone on the team ante up 20 bucks.
Then one of the team moms stocked the Lab's kitchen full of snacks. We have soooo much food but we eat like pigs so I think in another two weeks we will be all out of food.

I forget what we do about saturdays, and our meetings normally don't last through dinner, but we usually keep chips and stuff handy.

Well I guess I thought a lot more people did what we do... but I guess I was wrong. Our team is in a "research park" type area with restaurants everywhere within a 10 mile radius (plus we're right off the interstate... so thats not so bad either) but we basically just call up every restaurant and grocery store and ask if they would be willing to donate food for our endeavor (feeding 25 people). Believe it or not.... nearly every restaurant and grocery store doesn't mind at all... and what nights are left over we allow parents to bring food. We would get like 25 hamburgers, 25 chicken snacks, 10 medium pizzas (you heard right), a sub sandwich tray, a chicken nugget tray, jumbalaya, etc. You wouldn't believe the amount of food they are willing to give up to help out.
Last year we had every day of the build period... including saturdays... covered except maybe 6 or 7 days. Mmmm... food.
I guess our team should start appreciating this a lot more... :o
We have each parent bring food once and sometimes twice. Most parents are happy to do this. They don't have to feed there kid dinner but once or twice during the whole build period. They figure it's cheaper and easier to provide food for 30 kids once than one kid 30 times. We also went to Cosco and baught bulk ramen, chips, and water. Nothing to elaborate.
Nah... we kinda just eat whenever we feel like it, or whenever a massive amount of us is hungry... We live on Moxie and stale food... It's quite lovely.

we don't usually organize food unless it's getting towards ship date. our lab is near charlottesville's mall, so a few of us occasionally run for food. we generally rely on the loving parents bringing in various snack foods :-)
heh. at VCU, food is absolutely banned... that is of course, if they catch you...
(we always have food ready because it's quite expensive around Richmond)
We got Papa Johns as our sponser! HEHEHE!!!!! :p Of course, we only get it on Saturdays because of our meetings that run from 9 - 3 ordinarily. :(

Normally on weekdays are meeting are from 6-8:30 ish so we eat before we go. But on saturdays we get meals caterd to us.... from hy-vee.

(couldn't find a forum that this should be under, so sorry if i mis-posted)
We are starting to realize that feeding 20-30 people everyday is a very complex logistic problem, and unless we find a way to buy in bulk, very expensive....
How do your teams deal with this?
Do you go eat in groups?
order food in?
do you have deals with local food suppliers?
how do you pay?
from which money?
I would like to solve this problem ASAP.

We are a fairly small team, but since we have a BBQ, we have bought hotdogs in bulk, and we also make spagetti using a hotplate we have. The water takes a long time 2 boil its cheap and easy.
Instant noodles are always there if anyone gets the munchies, and we get chips, granola bars, other snacks donated by no frills(a large supermarket chain) our meals arn't too healthy..
pot noodles! - The staple food of building, as you only need a kettle lol...
Last weekend we had our annual pot luck lunch where everyone brings a dish to pass. It makes for nice variety and there is often much food to go around.

Our public relations and marketing group worked out a deal with 2 local restaurants. The first night we had pizza from Papa Johns, everyone paid $5 for 2 slices of pizza, a drink, and a snack size pringles. The second night we had BBQ from Bear Creak, for the same price each got either a pulled pork sandwich or a chicken sandwich a drink and pringle's or a cup cake. Worked out very well and the PR and Marketing group actually made money, and the entire team got to eat. It worked out pretty well. I think now they are trying to work out some Chinese food
