Hi folks!

Here is an update on the Cal Games progress after our BIG MEETING at Pioneer High School last Saturday. Big Thanks to Lonny Weissman for providing his class room for our meeting, a total of 15 Teams showed up (Yeah!!!).

There is only a month and a half until Cal Games, but we are making major progress! The focuses of this month are going to be: Fill in Volunteer Space & Mopping up details.

The topics of this issue include:

1. Event Status: How many teams, how many awards, and how many matches.
Registration: 8 teams registered with 5 days until deadline.
2. Work in Progress: How the groups are doing.
3. Volunteer Status: How many filled and how many we need.
4. Work Shift Status: How many filled and how many need.
5. The big to-do list: Little details we need to mop up.

1. Event Status: How many teams, how many awards, and how many matches.

Teams: There are now 21 Teams signed up for Cal Games, with 2 more on the way (Woohoo!): 100, 114, 115, 192, 254, 256, 581, 604, 670, 668, 766, 840, 841, 846, 852, 1072, 1120, 1280, 1351, 1458, 1516. We are now going ahead with the full size Cal Games.

Awards: In the Saturday meeting we decided to cancel our side events due to a busy match schedule. We now only have 12 awards with 2 spares: Aim High Champion & Finalist (6), Gracious Professionalism Award (1), Safety Award (1), Autonomous Mode Challenge (2), Wacky Award (1), and Most unusual use of KOP (1). We are still determining what to do with the spares. Stay tuned for the finalized details for the awards.

Matches: Due to the number of teams and the short amount of time Saturday morning, it was suggested that we implement a 2 vs. 2 game instead of 3 vs. 3 to give teams more breathing room in between matches. We heard a lot of input during the Saturday meeting, and the core group is going to discuss this issue when we know how many more teams are going to sign up. At the moment, we are looking at 5-6 qualification matches + elimination rounds.

2. Work in Progress: How are the groups doing?

Registration: Due to the huge amount of effort Phyllis Schmit put into contacting teams, we now have 21 teams registered + 2 waiting to register. The only things left to do is get those 2 teams signed up, and wait for any last minute registration to happen.

Awards: The silicon wafers were picked up earlier today. Team 115 will now get them silk-screened, and work on the name plaques. That will take a week or two. Once those are finished, they will get the awards framed and assembled.

Field Elements: The field elements group is waiting for insurance issue to be resolved before they can schedule work sessions. We are looking at starting around the end of September. Stay tuned for announcements from Dave Sheridan. Also, Dave is still gather balls for Cal Games. Please contact Dave (drs@catalyticaenergy.com) if your team hasn't done so already.

Publicity: Laura Rhodes is almost finished with the publicity package for teams to hand out, which include a Press Release, Flyer, Corporate Sponsor Letter, and School Admin Letter. When the package is completed they will be sent to the teams.

Event Setup & Logistics:
1. Eugene Brooks have a detailed plan on how to distribute power through out the pit area and main gym. There will likely be restrictions on how many things teams can use in the pit area, so stay tuned for pit area restrictions announcement.
2. Alvin Cheng contacted U-haul for the price of truck rental. Alvin is now reserving the truck for us.
3. Mike Schmit has agreed to be in charge of purchasing plastic tarps for floor protection underneath the carpets.
4. I've personally contacted the SCRRF folks about their scoring system and they have agreed to let us borrow it. With Mauri Laitinen and Eugene Brook's help, we will be contacting the SCRRF folks to learn more about the system and its operation.
5. Phyllis Schmit has agreed to be in charge of Signage.


3. Volunteer Status: How many filled and how many we need.

Of the 52 volunteer positions, 39 of them are now filled. Please take a look at the volunteer chart here: http://www.chiefdelphi.com/forums/showpost.php?p=524255&postcount=5 to see which jobs are filled and which aren't.

There are 3 things we need to do for volunteer recruitment:

1. A lot of the filled positions only have team numbers there. I will be contacting these teams for actual names in the near future.
2. We need to get the remaining positions filled. Most importantly, we are looking for another Field Manager to help run the playing field, another 2 pit admin for the pit area, another volunteer coordinator, and another field tech.
3. We will be working on a Volunteer Recruitment Flyer for teams to hand out.

4. Work Shift Status: How many filled and how many need.

Of the 20 work shifts during setup and clean up of our event, 14 of them are filled. But we need all 20 shifts filled or we won't have enough help with setup and tear down. So please figure out what's available for your team to sign up for, and tell me know when you want to work right away! If you wait until the last minute, your team will be stuck with the least desirable shift.

Remember, we are looking for about 8 people per team for each slot in each shift. Having your team number here is not enough, we need actual names of the workers too!

5. The big to-do list: Little details we need to mop up.

The following is the big to-do list, a list that includes every little thing we need accomplished before our event. This list is going to grow, or shrink, depending on how many got done and how many more problems we discovered.

1. Purchasing plastic tarp for the Pioneer Gym - Mike Schmit
2. Finding a place to store the plywood/masonite after Cal Games is over, because there is no room in storage.
3. Work on registration packages and handouts - Ceal Craig is working on the program, and Phyllis & Mike Schmit is working on the rest.
4. Purchase supplies for setup and tear down.
5. We need to work out the details of picking up the 80+ sheets of plywood/masonite at Woodside high school.
6. We need to work out the specifics and judging criteria for the awards.
7. Need to contact SCRRF folks about their scoring system and learn how it works, how to operate it, how it's put together, and how to set it up at Cal Games - Ken Leung & Mauri Laitinen.
8. Need to determine between 2 vs. 2 or 3 vs. 3 and come up with a method for match generation.
9. Need to rent a projection screen for scoring displays..
10. Need to examine Pioneer's audio system's specification, and figure out what cables we can use to plug the computer into it.
11. Team queuing discussion: need to discuss the details of team queuing and the flow of robots/teams.
12. Game Rules discussion: need to discuss the game rules with the group of Referees.
13. Pit Area Rules and restrictions: Depending on how many teams we have, there will be restrictions on the number of tools teams can use in the pit.
14. We need a scale and tape measurer for robot inspection.
15. Figure out what the FLL/Vex folks need for their displays.
