Another thing that I find helps, is I try to keep the latest CAD model on the projector in the lab most of the time. That way people have a very good vision for what we are building and can see the changes on the fly if I happen to have time to work on it during a meeting. This also gives our students that don't know Solidworks a pretty good introduction since they can watch me work. We also share the CAD over Google drive so that all of the team has access to the same files.
