close wetzel, but not exactly how we do ours.....

We hold ours in the basement/banquet hall type thing of our team leader's basement thus space=free
We then try to get food donated (a few mentors are friends with people at sauce & bread places) or buy it at Sam's Club (Cosco's, BJ's, whatever your bulk food seller is) and buy whatever else you need

The bonus about if you hold it at a place like church, or rather, any place with a kitchen, you already have cups, plates, silverware, etc for you to use.
PLUS they also have tables, chairs, etc

So thus, you set up in the morning, cook begining in the afternoon and into the evening......serve and the clean up.

Advertise everywhere you can, including the place you're having it.
Do a robot demo while people are eating, if possible.
Serve food family style, it's just easier, and forces people to get to know each other

MOST IMPORTANT, designate a time for your WORKERS to eat, either in shifts or all at once before cleaning up, after everyone else has gone. Don't forget they need to eat too!!
