Hey,
it's my rookie season also!
Our team established a quite advanced system this year. We are using paper scouting sheets and give the data into excel spreadsheets. Sheets are something like Offensive vs. Defensive Score; Lap vs. Hurdle Point...the fact that we had data to all the teams helped since the second round picks get quite hard at the end if your data does not reach far enough.
Our scouts are following the matches as a group but each of the six gets one team assigned. They sit together to be able to talk together. This helped us very much. In Tacoma, at the Microsoft Seattle Regional, we were able to pick and it turned out that our system was very reliable. We marched through the finals without losing any matches!
Another important thing is: Scout yourself! It helps to find the right alliance partner and to improve your game!
If you want to have a look at our scouting system it's right here:

In case your resources (persons) are limited. You might also want to consider to ask other teams to help you or even team parents! Both are possibilities that our team will consider in more depth!
If you have any questions, just ask...
Best wishes
