Mentors, is there an issue with how you pay for your Championship package?

Mentors,

Do you or does your sponsoring organization have an issue with the fact that the Championship Packages must be paid for by a single check or money order to THS? Basically, will this increase the difficulties of paying for your travel?

My company reimburses based on a per diem, so it should not be a problem when it comes to the expense report, but the school district is not so keen, and understandably so, on becoming a clearing house for payments.

I spoke with THS today concerning this and they do not see an issue here.

I'll be up front and tell you I don't handle the teams finances but as far as I know we've never had an issue with this. Our team has it's own account and isn't financially associated with the school and recieves zero funding from the school, board of ed, or town budget. Out team is 501c3 tax exempt and our sponsors monetary donations go into our teams account. This account is drawn on only for anything our team needs wether it be registering for events, tools or parts/materials for the robot, and travel expenses. Travel expenses takes the lowest piority with our budget, if there isn't enough funds the cost is split among those traveling to competitions. We try to do as much fundraising as possible to keep costs down but as many teams have realized the last few years have been rather difficult.

We're nonprofit and all our funds are handled by an educational foundation.

However paying by check would have been hugely inconvenient last year - the foundation last year was extremely slow to respond to our need for our own funds.

Things have improved this year.

We don't receive funding from school or school district.

One of our wonderful parents is taking care of all of our arrangements. As such, we are giving her cash or checks and she will have a cashier's check sent to THS. Our team's budget is small enough that we don't have the funds to pay for anyone's travel.

our teams funds are handled through 2 accounts. 1 - a non-profit educational institution that pays for our registration fees and travel expenses (money generated through sponsorships) and 2 an internal account at the school. although neither the school or school board offer financial assistance, all monies generated through student fundraisers is placed there. this money is used for parts and materials and other supplies. our mentors never pay for travel and the students divide any extra costs among those attending competitions.
