GANTT chart software?

Our team has recently been experimenting with project management software, such as Teamwork. We have decided that we donít really need a lot of the functionality, and really like the GANTT chart aspect of it. Iím wondering if anyone has any recommendations for GANTT chart software that is cheap, effective, cloud based, and good for FRC teams. We are seriously considering a google sheets document, as it is a good option for what weíre looking for.

We have just started using Pincello for our projects. It's easy to use, generates nice looking Gantts and also has a free version. Another tool we have experimented with is Plan Hammer, it has a free trial that we tried and has more features, but it's more difficult to use and its visual looking is not as good as Pincello's. So far we preferred Pincello mostly because of how easy it is and the fact that we didn't use the extra features on Plan Hammer.

We've been working on making one in Google sheets. It has some extra features that should really help us that you may not find in other packages. If you want to PM me your Gmail address, I can share it so you can take a look.

I've been building GANTT charts in MS Excel for many years both professionally and for FRC; They'll likely convert to Google Sheets or other formats pretty well. Here's what our 2018 planner looked like early in the season:

I got a bit of a bigger response than I was expecting, so I'm just going to post it all here instead of managing multiple conversation threads.

First, two links:
Template
Example with data

I recommend starding with the example first, as it'll actually show you how it all works. The template is supposed to be what you use to build a new schedule.

The instructions I have on the first tab are intended for my students - there's a little more setup you'll want to do first:

- On the gantt chart, update row 6 to match the number of scheduled hours you have for each day during the season

- Update the Resource Management tab with the resources you care about (something I haven't really done yet, I just listed a bunch so I would have some test data). Just insert a row and copy everything down, changing the name of the resource. This will populate the drop down on the gantt chart, and provides you with a nice view of how utilized your key resources are. This is really just intended for resources that could block progress between items. If multiple people can jump on and off the bandsaw without really holding each other up, then it's not a restriction and shouldn't be listed. Note that the dropdown on the gantt chart isn't going to work if you add a row at the very end of the sheet - insert rows in the middle somewhere.

- Update the Student Management tab with the names of your students (I haven't done this either, just put in some random names for testing purposes). This works the same as the Resource Management tab.

- Update the Student Tasks tab. Just delete or add new columns as needed, and drag the formulas over. It'll auto populate the student names from the Student Management tab. The formula is just in row 2, it generates everything else on that page.


Some of the features I like from this that I didn't find on some online collaborative gantt charts:

- track the original plan against what actually happened. This will hopefully let us show the students how overly optimistic they always are at the beginning of the season.

- Track multiple individuals against each task. Generally we work in pairs (a more experienced student with a less experienced one), so this lets us track both individuals, and give them a report out of what parts they worked on at the end of the season.

- Supports a non-standard workday definition, with different hours per day. This is pretty critical, as every gantt chart I've seen assumes some sort of "standard" workday, which does not match how our meetings go each week.

- tracks machine utilization. This will hopefully help us see which machines are being over-utilized, helping us plan future machine purchases. Do we need a second mill? A third bandsaw? Without tracking, it's hard to know...


If you find something in here you don't understand, or something you think isn't working right, or a feature you want added, please share! You can get an editable copy for yourself by going to file-> Make a Copy. That'll put it into your own drive, and let you play with it all you want! Of course, if we make updates here, you'll have to go to the updated sheet and make a new copy for yourself to see those updates.

We use instagantt.com and are able to embed it into our team's notion.so for everyone to see.

FYI for anyone that's downloaded it already... I just discovered and fixed an issue with how the sheet calculated durations for the summary rows. The previous way was significantly off, and affected the gantt chart.

I use a program called "Concept Draw" (the professional version). The FUN feature is that you can capture your information in a MIND MAP format, then translate it into a Project Plan. For those that need a research topic for the last few weeks of summer look into "Mind Maps".
