Help Needed from Off-Season Competition Directors Out There

I need help from any other Off-Season Competition Directors out there. I am looking for how you all go about organizing and making it possible. I guess what I am looking for is like list of things that are needed to make the competition possible, how you organize the pre-event planning, and any other logistics that make it helpful for you to pull it off.

I am looking for this because I am the Student Director of the 1st Annual Off-Season Competition in Richmond, VA. We are meeting having planning meetings starting this upcomming Wednesday, and well I am just looking to see how I should start off the planning of this event. I do want to say that we arnt starting everything now, some planning has already been done since last summer, so we are not totally starting with nothing. So any help will be greatly appreciated.
