BAE Regional... SECURITY CART ISSUES

The past few years, our team has arrived at the scheduled time to unload our team/ tools at the Arena. Each time , the security personnel have turned us away stating " WE have no authorization" to allow us to bring our Robot Cart/ Ambulance into the arena. We go back and fourth about ten times, and after 40 minutes of him being on the motorola to the head security person, they allow us in. Mean time, my students are freezing at the gate waiting for "authorization".... Can someone let me know who to contact out there so I can make arrangements so that this doesn't happen again. I'm just worried that there is going to be 10-15 teams trying to get their tools and stuff through the cargo area in Manchester...
