**FIRST EMAIL**/Important December 3rd Deadline Information - Please Read!

Greetings Teams:

December 3rd is right around the corner. There are four (4) key items due on this date.

* Kit and Kickoff Preferences (including event location and count)
* Program Book Information
* Registration Closes
* Initial Event Payment 

All deadlines are for 5:00 pm EST on December 3rd.

ROOKIES: Please read below information very carefully!

DEADLINE 1: Kit and Kickoff Preferences

“My Site” Selection:

Many teams have chosen “My Site” for their shipping preference for the Kit of Parts (KOP).

IMPORTANT This means that the KOP will ship to the address specified in the Shipping Contact’s record. If you have your kit shipped to “My Site” your team incurs the shipping cost.

Please check your record in TIMS at my.usfirst.org to make sure you have selected the correct option. If you selected “My Site” in error, or before the remote Kickoff information was available, please change your Kit and Kickoff preference to the Kickoff you are attending.

Tip! Your team can select to attend more than one Kickoff. If you fly to attend a Kickoff, you will not be able to take your KOP back on the plane. If your team is planning to fly members to the Manchester Kickoff, you should plan to have other team members attend a local Kickoff and collect the KOP there, or for your team to select “My Site” for your kit shipment.

If you do want your kit shipped to “My Site” you must have a valid FedEX or UPS shipping account number entered in the TIMS system. If this number is not entered or is inaccurate, your kit cannot be shipped. Teams that choose the “My Site” option can expect to start receiving their kits the week following the Kickoff. Please also verify that your Shipping Contact’s address is accurate - this is where the KOP will be shipped!

IMPORTANT All Kit Shipping information must be accurate by the December 3rd deadline date as the packing and palletizing process for shipment will start the next week. Once Kits are palletelized, there can be no changes.

Surrogate Kit Pickup Information:

If your team is unable to pick-up its KOP at the Kickoff selected, an alternate team may do so. The team unable to attend must provide FIRST with an authorization letter, signed by the main contact, on school or sponsor letterhead.

The letter must be faxed to Team Support at 603-666-3907 no later than December 15, 2004, with a hard copy to follow. Please send hard copy to FIRST, Attn: Team Support, 200 Bedford Street, Manchester, NH 03101. The letter should include the following:

1.) Your team number and the pick-up location;
2.) The name and team number of the representative picking up the kit.

To Do! Provide a copy of the letter to the team representative picking up the kit for your team. The representative must bring the letter to the appropriate Kickoff.

KOP Receipt Information

Your KOP receipt will be given to you at registration on Saturday, January 8th . There will be one (1) receipt this year with a listing of all boxes you will receive.

DEADLINE 2: 2005 Program Book Information

The 2005 Program Book development is under way, and we need you to carefully review your team’s information to be sure it is accurate. All team information must be correct and up to date on the TIMS by no later than December 3rd at 5:00 pm EST in order to be included in the program book. This information includes:

  1. Team Names*
    Please remember that the main Team Name is how your team name will read in FIRST literature, including the program book and the FIRST web site. This “official” team name is generated when you name your Sponsor/Partner(s) in TIMS and add Partner information.
    The short team name will be used on the scoring board at competitions. “TIP”: If you have a sponsor(s)/partner you will want to give credit by noting them in your short team name! This short team name is a maximum of 21 letters and should include your partners and your school. You may have to abbreviate.

For 2005 NASA Regional, NASA Space Consortium, and LEGO grant recipients, FIRST will internally make designations to the short team name.

  1. Sponsor(s)
  2. Team Motto
  3. Robot Name
  4. Name of School
  5. State/Province (in Canada or Brazil)
  6. Rookie Year

*Team Name - when reviewing your team name, please pay special attention that your school or sponsor has not been listed more than once. Many teams have entered duplicate and triplicate information (e.g., Jones Corporation & Smith High School, Smith High School, Smith High School.)

DEADLINE 3: Registration Closes

Please be sure to make your final selections for events as soon as possible! There are regionals that still have spots available. Regional Event registration closes on December 3rd at 5:00 pm EST!

DEADLINE 4: Initial Event Payment

Please remember that initial event payments are due at FIRST by 5:00 pm EST on December 3rd.*

* Pay on-line (via TIMS) with Visa, MC or Amex, or call Finance with credit card information at number below 

*Please note this also means that all purchase orders for the $6,000 registration fee must be paid on or before December 3rd.
